How we collect, hold, use and disclose personal information, and how you can access, correct or complain about it.
1.1 The Platform is operated by JOBLINKD (ABN 80 241 124 181) of Brisbane, Queensland, Australia (we, us, our). In this policy, you means any individual who uses the Platform, including job seekers, students, employers, and representatives of education providers.
1.2 We are bound by the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles (APPs) contained in Schedule 1 to that Act. To the extent that any exemption for small business operators would otherwise apply, we have elected to comply with the APPs and this policy is binding on us accordingly.
1.3 Personal information has the meaning given in section 6 of the Privacy Act.
2.1 The personal information we collect depends on how you interact with the Platform. It may include:
| Category | Examples |
|---|---|
| Identity and contact information | Name, email address, telephone number, suburb, State and postcode, and any profile image you upload. |
| Career Passport information | Employment history, position titles, duties, skills, qualifications, licences and tickets, education, career objectives, salary expectations, availability, preferred locations and preferred working arrangements. |
| Documents | Resumes, cover letters, certificates, academic transcripts, references and any other documents you elect to upload. |
| Work entitlement information | The general category of your entitlement to work in Australia, where you elect to provide it. |
| Activity information | Roles viewed, saved and applied for, courses viewed and enquired about, assessment responses, communications sent through the Platform, and conversations with our AI career assistant. |

| Technical information | Device type, operating system, application version, internet protocol address, approximate location derived from that address, diagnostic and crash information, and usage analytics. |
| Payment information | Where you make a payment, our payment processor collects and holds your card details. We receive a transaction record and the last four digits of the card only. |
2.2 We do not collect personal information unless it is reasonably necessary for, or directly related to, one or more of our functions or activities.
3.1 We collect personal information directly from you when you create an account, complete onboarding, build or amend your Career Passport, upload a document, apply for a role, request a quotation from an education provider, contact us, or use the AI career assistant.
3.2 We collect information automatically through your use of the Platform, as described in clauses 2.1 and 13.
3.3 We may collect personal information about you from third parties, including an employer who records the outcome of an application you have made, an education provider who confirms an enrolment, and an authentication provider through which you elect to sign in. Where we collect personal information about you from a third party, we take reasonable steps to notify you in accordance with APP 5.
3A.1 Where we receive personal information about you that we did not solicit, we determine within a reasonable period whether we could have collected that information under APP 3 had we solicited it.
3A.2 If we determine that we could not have done so, and the information is not contained in a Commonwealth record, we destroy or de-identify it as soon as practicable, provided it is lawful and reasonable to do so.
4.1 We collect, hold, use and disclose personal information for the following purposes:
4.2 We will not use or disclose personal information for a secondary purpose unless you would reasonably expect it, you have consented, or the use or disclosure is otherwise permitted under APP 6.
5.1 The Platform generates match scores, readiness scores and recommendations automatically, by comparing the information in your Career Passport against the stated requirements of a role, course or career, applying weightings determined by us.
5.2 Those outputs are indicative. They are not a decision about you, they do not determine whether an employer will engage you or whether an education provider will accept you, and no employment or enrolment decision is made by us.
5.3 Our AI career assistant processes the contents of your Career Passport and your messages through a third party artificial intelligence provider engaged by us under contract. That provider is not permitted to use your information for its own purposes.
5.4 You may request an explanation of any automated output that materially affects you, and you may request that we review it. Contact us using the details in clause 22.
6.1 We may disclose personal information to:
6.2 We do not sell personal information, and we do not disclose personal information to third parties for their own direct marketing purposes.
7.1 Where you request a quotation from, or ask to be referred to, an education provider, we disclose the personal information reasonably necessary for that provider to respond, being your name, email address, telephone number where you have provided it, your general location, the qualification you are enquiring about and any information you elect to include in your enquiry.
7.2 We make that disclosure only where you have expressly consented in respect of the provider or providers you have selected. Once disclosed, that provider handles your personal information as an independent entity under its own privacy policy and is responsible for its own compliance.
7.3 We may receive a referral fee, lead fee, enrolment commission or other consideration from certain education providers. Where such an arrangement exists in respect of a course, that fact is disclosed on the relevant listing. Commercial arrangements do not affect the order in which courses are presented to you, which is determined by reference to your Career Passport, your stated career objective and your stated preferences.
8.1 Where you apply for a role, we disclose to the relevant employer the Career Passport information and application material that you have approved for that application.
8.2 Where you elect to be discoverable by employers, an employer with a live listing may view your first name, your general location, your years of experience, your skills and whether you hold a qualification relevant to that listing. We do not disclose your surname, email address or telephone number at that stage.
8.3 An employer may send you an approach through the Platform. Your contact details are disclosed to that employer only if you accept the approach. You may withdraw from discoverability at any time, with immediate effect.
8.4 We do not disclose to employers whether you receive income support, the contents of your job search record, or any information you have recorded under clause 2.1 in that category.
9.1 Certain of our service providers store or process personal information outside Australia, including in the United States of America and the European Union.
9.2 Before disclosing personal information to an overseas recipient we take such steps as are reasonable in the circumstances to ensure that the recipient does not breach the APPs in relation to that information, ordinarily by binding the recipient contractually to standards consistent with the APPs. A current list of the countries in which our service providers are located is available on request.
10.1 Sensitive information has the meaning given in section 6 of the Privacy Act and includes health information and information about racial or ethnic origin, criminal record and membership of a professional or trade association.
10.2 We do not require sensitive information in order for you to use the Platform. We collect sensitive information only where you voluntarily provide it, it is reasonably necessary for one of our functions or activities, and you consent to that collection. Where you provide sensitive information, you consent to us collecting, holding, using and disclosing it for the purpose for which you provided it.
11.1 We do not require, and do not ask for, your tax file number, Customer Reference Number, Medicare number, passport number or driver licence number. If you provide a government related identifier to us we will delete it as soon as practicable, and we will not use or disclose it except as permitted by APP 9.
12.1 We may use your contact details to send you marketing communications about features, roles, courses and events relevant to your career objectives.
12.2 Each such communication contains a simple means of opting out, and you may opt out at any time in your account settings or by contacting us. We will give effect to an opt out request within a reasonable period.
12.3 Opting out of marketing communications does not affect service communications, including application updates, security notifications and notices of changes to our terms, which are necessary for the operation of your account.
13.1 We use first party measurement to understand how the Platform is used. On our website this records the page visited, the referring site and the width of the browser window. It does not set a cookie, does not assign an identifier, and cannot be used to identify you.
13.2 Within the applications we record product events, being the fact that a feature was used and the screen on which it occurred, associated with your account. We do not record the content of what you type.
13.3 Further detail is set out in our cookie policy.
14.1 We take such steps as are reasonable in the circumstances to protect personal information from misuse, interference and loss, and from unauthorised access, modification and disclosure, as required by APP 11.
14.2 Those steps include encryption of information in transit and at rest, access control enforced at the database layer so that a user may access only their own records, multi factor authentication for administrative access, logging of administrative actions, and regular backups.
14.3 No method of transmission or storage is entirely secure. You are responsible for maintaining the confidentiality of your account credentials and for activity conducted under your account.
14A.1 Personal information is held in electronic form in cloud infrastructure operated by our hosting provider, in Australian data centres where available. Access is controlled by role and enforced at the database layer.
14A.2 Documents you upload are held in private storage accessible only to your account and to administrators acting in the course of their duties.
15.1 We retain your Career Passport for so long as your account remains open.
15.2 Where an account has been inactive for 24 months we will contact you before archiving or destroying the information held in it.
15.3 Following deletion of your account we destroy or de-identify the personal information we hold about you within 30 days, except where we are required to retain it under an Australian law or a court or tribunal order, or where retention is reasonably necessary for the establishment, exercise or defence of a legal claim. Records required to be kept under the Corporations Act 2001 (Cth) and taxation legislation are retained for the periods prescribed.
15.4 An employer or education provider to whom information has already been disclosed may retain its own copy. That copy is held by that entity under its own privacy policy and is beyond our control.
16.1 You may access and correct most of the personal information we hold about you at any time through your account, and you may export your Career Passport and application history from within the application.
16.2 You may also request access to, or correction of, personal information we hold about you by contacting us using the details in clause 22. We will respond within 30 days.
16.3 We do not charge for making a request. We may charge for giving access where the request is substantial, in which case we will notify you of the charge before proceeding. Any charge will not be excessive and will not apply to the making of the request.
16.4 If we refuse a request for access or correction, we will give you written notice setting out the reasons for the refusal and the mechanisms available to you to complain.
17.1 You may browse our website without identifying yourself. As required by APP 2, you have the option of dealing with us anonymously or by pseudonym where it is lawful and practicable to do so. It is not practicable for us to provide matching, applications, referrals or an account without the information described in clause 2.
18.1 We maintain a data breach response plan. Where we have reasonable grounds to believe that an eligible data breach has occurred, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by Part IIIC of the Privacy Act.
19.1 The Platform is available to individuals aged 13 years and over. We do not knowingly collect personal information from a child under 13. If you believe we have done so, contact us and we will delete it.
19.2 Where a school provides access to a student under 16, the school is responsible for obtaining consent. We encourage the involvement of a parent, guardian or school career adviser, and we recommend that identity documents are not uploaded.
20.1 If you consider that we have breached the APPs or this policy, you may complain to our Privacy Officer using the details in clause 22. We will acknowledge your complaint within 5 business days and provide a written response within 30 days.
20.2 If you are not satisfied with our response, you may complain to the OAIC at oaic.gov.au, by telephone on 1300 363 992, or by writing to GPO Box 5218, Sydney NSW 2001.
21.1 Where a school subscribes to JOBLINKD and a student links their account to that school, the school may see the student's Senior Education and Training plan: the occupation the student is aiming at, the route, the qualification it requires, the senior subjects it expects, and the next step.
21.2 The school cannot see the student's messages, resume, anything written to the AI coach, job applications, or any uploaded document. Those are not disclosed to a school in any circumstances.
21.3 The student controls the link and may switch sharing off at any time within the app. Switching it off does not delete the plan, which remains the student's own record and stays with them after they leave the school.
21.4 Where a school provides access to a student under 16, the school is responsible for obtaining consent from a parent or guardian in accordance with its own policies. We do not accept direct account registration from anyone under 16.
21.5 A school receives aggregate reporting about its cohort: completion counts, the routes students are heading toward, and the subjects those routes expect. Aggregate reporting does not identify an individual student beyond the completion record the school already maintains.
21.6 No student is made discoverable to an employer by a school. Employer introductions apply only to adults who have chosen them. Where a student is matched to a school based apprenticeship or traineeship, the introduction is made with the student's express consent.
22.1 We may amend this policy from time to time. Where an amendment is material we will notify you by electronic mail or through the Platform before it takes effect. The version and effective date appear at the top of this page.
